Position Overview
The Administrative Director is a key leadership role responsible for managing the day-to-day operations of the Toronto Chinatown Business Improvement Area (BIA). This individual oversees administrative systems, supervises staff, supports financial planning, and ensures effective implementation of policies and programs that support the BIA’s mission and its Board of Management.
Key Responsibilities
Manage office operations, systems, and administrative staff to ensure smooth and efficient functioning.
Oversee payroll, correspondence, records management, procurement, and clerical processes.
Develop and implement administrative policies and procedures to support organizational goals.
Lead budgeting processes and monitor expenditures, ensuring alignment with financial objectives.
Recruit, onboard, and manage staff, including performance appraisals, training, and mentorship.
Act as a liaison between the Board, committees, members, contractors, and stakeholders.
Prepare reports, meeting agendas, and minutes for Board and committee meetings.
Conduct research and provide support for projects, community programs, and strategic initiatives.
Monitor trends, summarize external communications, and provide recommendations to the Board.
Carry out other duties as assigned by the Board or committees.
Qualifications
Post-secondary education in Business Administration, Non-Profit Management, Public Administration, or a related field.
Minimum 3–5 years of experience in office management, administration, or similar leadership role.
Strong organizational, communication, and interpersonal skills.
Experience managing staff, budgets, and operational systems.
Proficiency with Microsoft Office and digital collaboration tools (e.g., Google Workspace, Zoom, etc.).
Knowledge of BIAs, municipal processes, or community-based organizations is an asset.
Bilingualism (English and Cantonese/Mandarin) is an asset.
Working Conditions
This position is based in-person at the Toronto Chinatown BIA office. Occasional evening or weekend meetings (e.g., Board meetings or public events) may be required.

資格條件
擁有商業管理、非營利組織管理、公共行政或相關領域的大專以上學歷。
至少3至5年辦公室管理、行政或類似領導職位的工作經驗。
具備良好的組織能力、溝通技巧與人際關係能力。
有管理員工、預算與營運系統的經驗。
熟練使用 Microsoft Office 及數位協作工具(如 Google Workspace、Zoom 等)。
熟悉商業改善區(BIA)、市政流程或社區組織者尤佳。
具備中英文(廣東話/普通話)雙語能力者尤佳。
工作條件
本職位需於多倫多華埠 BIA 辦公室親自上班。偶爾需於晚上或週末出席會議(如董事會會議或公共活動)。
